We are looking on behalf of our client for a Project Administrative Assistant. The ideal candidate will have a background in accounting, with experience in the construction industry.
Responsibilities include, but are not limited to:
- Review, verify, and process invoices from contractors, suppliers, and service providers.
- Assist in preparing and submitting payment applications, ensuring all necessary documentation is included and deadlines are met.
- Maintain detailed records of all payment transactions, including receipts, invoices, and payment confirmations.
- Track project expenses against the budget, identify variances, and report any discrepancies to the Quantity Surveyor.
- Organize, and maintain project documentation, including contracts, change orders, and correspondence.
- Develop and manage efficient filing systems for both physical and digital documents.
- Act as a point of contact between the project team, Head Office departments and external stakeholders, including contractors, suppliers, and clients.
- Schedule and organize project meetings, prepare agendas, and take minutes.
Requirements:
- Proven experience in an administrative role, preferably within the construction industry.
- Strong understanding of accounting principles and financial processes.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- English is compulsory. Proficiency in Spanish, Portuguese etc. is an advantage.
- Familiarity with accounting and Quantity Surveying practices and principles.
- Bachelor’s degree in accounting, finance, Quantity Surveying or a related field is an advantage.
